The Role

Bilingual (English/Spanish) Operations & Administrative Coordinator

We’re looking for a Bilingual (English/Spanish) Operations & Administrative Coordinator to support our Operations Team in a fast-paced, detail-driven environment. This role is ideal for someone with strong administrative experience, excellent Excel skills, and a passion for keeping operations organized and efficient.

 

As the Operations & Administrative Coordinator, you’ll play a key role in ensuring smooth daily operations by:

  • Managing spreadsheets, reports, and data tracking using Microsoft Excel

  • Assisting with billing, documentation, and compliance records

 

This is a full-time, on-site position requiring availability Monday through Friday. The ideal candidate thrives in dynamic healthcare settings where adaptability, accuracy, and proactive problem-solving are essential to supporting our team's mission.

What You Will Do

  • Work closely with the client-assigned staff to document issues and escalate areas of concern.
  • Conduct staffing reviews weekly.
  • Help operations management ensure safety rules and policies are being observed.
  • Provide daily and monthly reports to management, including but not limited to billing, contract compliance, attestations, and health clearances.
  • Work collaboratively with the operations management team and Human Resources in support of hiring activities including but not limited to conducting new employee onboarding and orientation, coordinating the badging process and ensuring all employee training is up to date.
  • Oversee the collection and filing of relevant employee documents, with specific emphasis on maintaining the highest level of confidentiality.
  • Work on special projects as assigned.

What It Takes To Be Successful

  • Minimum 2+ years of administrative support experience
  • Bilingual fluency in English and Spanish (required)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Must have strong Excel skills 
  • Excellent written and verbal communication skills
  • Exceptional interpersonal skills with a strong customer service orientation
  • Superior organizational abilities with keen attention to detail
  • Demonstrated ability to manage multiple competing priorities with accuracy
  • Discretion in handling confidential and sensitive information
  • High school diploma or GED equivalent
  • Must successfully complete background check, health clearance, drug screen and Live Scan as required

Environment

Environment may also include manufacturing, laboratories, offices, cleanrooms, offices and production areas, interacting with employees and clients throughout the job site. May require long periods of walking, standing, sitting, climbing, bending, reaching, stretching, leaning, stooping, and crawling, ability to lift up to 40 pounds, may require frequent travel to company job sites, the corporate office, Carson Warehouse or other locations for meetings or projects.
