The Role

We are looking for an Executive Assistant who is focused, yet flexible; professional, yet personable, and knows how to create order from chaos. In this role, you will provide high-level administrative and clerical support to the Executive Vice President of Operations, ensuring the best client and employee experience while offering solutions to our field Operations management.

WHAT YOU WILL DO

EVP Support

  • Manage the EVP’s email, calendar, prioritize tasks, schedule appointments, set agendas, and coordinate travel arrangements
  • Draft, edit, and proofread correspondence, presentations, and reports
  • Organize and triage emails, ensuring that important items are prioritized
  • Act as a gatekeeper and trusted right-hand person, handling confidential and high-priority matters

Operations Support

  • Ensure client and contract information is accurate and up-to-date in Salesforce
  • Manage data related to shift assignments, payroll, timekeeping, job setups, and billing
  • Partner with key leaders to gather information, prepare presentations, and coordinate schedules for the Biannual Client Survey
  • Serve as the subject matter expert for corporate workforce management systems, including iCIMS, Kronos (UKG), and Salesforce
  • Work closely with the Accounting team to ensure accuracy in billing, headcount reporting, supplies, account changes, and resolving discrepancies
  • Maintain up-to-date Union and Wage & Hour information for all relevant locales, becoming the go-to resource for wage and hour classifications
  • Oversee contract file management in Salesforce and collaborate with Sales and Operations on new contract start-ups
  • Assist with various tasks and special projects as assigned

What It Takes to be Successful

  • Minimum of 3+ years experience in a C-Suite Executive Assistant role or equivalent 
  • Advanced knowledge and applications in Microsoft Suite (Excel, PowerPoint, Outlook Email & Calendar Management)
  • AI knowledge and applications
  • Excellent interpersonal and communication skills (written/verbal)
  • Ability to thrive in a fast-paced, dynamic environment
  • Exceptional attention to detail and adaptability to competing priorties 
  • Exceptional organizational skills with a keen eye for detail
  • A proactive attitude and a problem-solving mindset

Environment

Environment may also include manufacturing, laboratories, offices, cleanrooms, offices and production areas, interacting with employees and clients throughout the job site. May require long periods of walking, standing, sitting, climbing, bending, reaching, stretching, leaning, stooping, and crawling, ability to lift up to 40 pounds, may require frequent travel to company job sites, the corporate office, Carson Warehouse or other locations for meetings or projects.

Pay Range and Compensation Package

A reasonable estimate of the current base salary range for this position is $85,000 – 95,000. Actual compensation offered may vary depending on skill level, experience, and/or education. You will also be eligible for annual cash bonuses based upon performance and other factors.
