The Role

WHAT YOU WILL DO

Key Responsibilities:

 

Scheduling: Manage and coordinate the Executive VP’s calendar, group activities

Board Work: Prepare materials, coordinate logistics, and ensure smooth communication for board meetings, including tracking action items and following up on deliverables.

Meeting Coordination: Prepare agendas, take notes during Executive Leadership meetings, and ensure effective communication.

Note Taking & Transcription: Take notes during onboarding, update people notes in Teams, and transcribe key meeting takeaways into actionable tasks.

Email & Communication Management: Filter emails, draft/respond to emails, facilitate introductions, and manage office voicemail.

Team Outreach: Coordinate employee engagement efforts and collaborate on account trends.

PR & Content Support: Review articles/bios, collaborate on LinkedIn/Facebook posts, and design dynamic PowerPoint presentations.

Administrative Support: Oversee billing instructions, job setup forms, and other administrative tasks to ensure timely responses.

Learning & Knowledge Management: Organize and distribute key learning materials and scan for relevant updates.

What It Takes to be Successful

Qualifications:

 

• Strong passion for emerging technologies, particularly AI.
• Excellent written and verbal communication skills.
• Proven ability to manage social media presence and create engaging content.
• Experience in crafting newsletters and blogs.
• Ability to thrive in a fast-paced, dynamic environment.
• Exceptional attention to detail and adaptability.
• College/University degree preferred, or equivalent work experience.
• Minimum of 5 years’ experience as an executive assistant to senior management in a fast-paced office environment.
• Tech-savvy; proficient in MS Office 365 programs and CMS systems with demonstrated experience creating presentations for executives (UKG, iCIMS, One Note, Chrome River, SharePoint, and Salesforce experience a plus).
• Advanced proficiency in Excel required to create and manage complicated spreadsheets.
• Strong calendar and business travel management experience required.
