We are seeking a highly motivated and resourceful Executive Assistant to support our Chief Executive Officer (CEO) in leveraging AI tools, computational models, and operational insights to drive efficiency and innovation within the company. The ideal candidate will not only be passionate about learning new technologies, particularly in the field of artificial intelligence, but also eager to leverage these tools effectively to improve processes and decision-making. They will actively share their findings to enhance organizational operations. This role requires someone who is adaptable, detail-oriented, and able to handle a fast-paced work environment, all while maintaining a focus on people-centered operations and aligning with the CEO's vision.

The Role

We are seeking a highly motivated and resourceful Executive Assistant to support our Chief Executive Officer (CEO) in leveraging AI tools, computational models, and operational insights to drive efficiency and innovation within the company. WHAT YOU WILL DO

Support the CEO:

  • Handle calendars, prioritize tasks, making appointments, set agendas, coordinate travel
  • Draft and edit correspondence, presentations and reports
  • Label, triage and organize email
  • Generally, act as gatekeeper and right-hand person for CEO 

Partner with Operations:

  • Ensure client and contract information is accurate and current in Salesforce
  • Manage input and information related to shift assignments, payroll, time keeping, job setups, and billing
  • Collaborate with the Assoc. Director of Client Experience on Biannual Client Survey:  information gathering, presentation preparation, and scheduling
  • Serve as team expert for corporate workforce management systems:  iCIMS, Kronos (UKG), Salesforce.
  • Work closely with the Accounting team to ensure accuracy of billing and accounting reports:  headcount, supplies, account changes, discrepancies
  • Keep all Union and Wage and Hour information sheets current. Become resident expert on wage and hour classifications for all locales serviced.
  • Maintain all contract files and client information in Salesforce. Coordinate with Sales and Operations for new contracts start-ups.
  • Assists with other tasks and special projects, as assigned.

What It Takes to be Successful

  • College/University degree preferred, or equivalent work experience
  • Minimum of 3 years’ experience administrative support, plus minimum of 2 years as an executive assistant to senior management in a fast-paced office environment (stable work experience a must)
  • Tech-savvy; proficient in MS Office 365 programs and CMS systems with demonstrated experience creating presentations for executives (UKG, iCIMS, Chrome River, SharePoint, and Salesforce experience a plus)
  • Advanced proficiency in Excel required to create and manage complicated spreadsheets
  • Strong calendar and business travel management experience required
  • Proficiency in AI tools and large language models preferred
  • Excellent communication and interpersonal skills with demonstrated ability to maintain confidentiality and discretion, always thinking three steps ahead
  • High level of emotional intelligence, strong internal customer focus, and ability to navigate complex dynamics
  • Demonstrated outstanding organizational skills and attention to detail with ability to handle multiple tasks and prioritize urgencies effectively to meet deadlines
  • A team player, always willing to pitch in and help where needed
  • Exhibit strong problem-solving abilities and the ability to think strategically
  • Proactive, resourceful, and able to work autonomously
  • Ability to read correspondence, reports, and other communication in a critical and analytical manner, and respond appropriately
